Campaign Permissions

Modified on Tue, 18 Jun 2024 at 06:10 PM

Throughout the DivvyHQ platform, some actions require certain user permissions. In most cases, those permissions are set at the Calendar level, with individual users having specific roles/permissions for specific calendars. Our Campaigns feature is a bit different, since campaigns can be associated to multiple calendars. Who should be able to create campaigns? Who should have access to edit?

TABLE OF CONTENTS

To ensure we maintain the desired level of visibility and collaboration, while also providing some controls so only specified users can add or edit a given campaign, we've devised a unique set of campaign permissions that is discussed in detail below.

Permissions for Adding a Campaign

With the exception of External and Internal Reviewer roles, all other user roles can add a campaign. This includes Global Admins (GA), Parent Calendar Admins (PCA), Editors (E), and Contributors (C). Instead of focusing on those native roles, users will be asked to specify a Campaign Owner and Campaign Co-Owners who will have most of the editing permissions for each campaign.

Additionally, when asked to associate calendars to a campaign, users will only be presented with a list of calendars in which they have access. You cannot add a calendar to a campaign if you don't have access to that calendar.

Viewing a Campaign

All users can view any campaign on the Calendar interface that is associated to a calendar in which they have access.

Full Editing Privileges

If you have a GA role or are the Owner of a campaign, then you can edit the the following fields:

  • Campaign Name
  • Associated Calendars
  • Campaign Type
  • Campaign Start/End Date(s)
  • Campaign Description
  • Campaign Priority
  • Campaign Workflow (add/manage campaign tasks)
  • Add Team Members (as Co-Owners or make them the Owner of the campaign)

Partial Editing Privileges

If you are a Co-Owner of a campaign and not a GA role within your DivvyHQ instance, then you have full editing permissions (as listed above), except for the following:

  • Editing associated calendars
  • Managing team members (you can't change ownership)

Production Tasks

The Owner and Co-Owners of the Campaign can create, edit and delete Production Tasks. If you are a Contributor role, you will not be able to edit or delete these tasks.

Changing Owners or Adding Co-Owners

If you are a Global Admin or the current Owner of the Campaign, to change the Owner of the Campaign, or add/change Co-Owners, click the plus button in the top right corner of the campaign. A pop-up window will appear and you can check mark next to anyone you would like to add as a Co-Owner. If you would like to make them the Owner, hover over their name and select "Make Owner" on the right.
